Need a New Vendor?

Stop and think before you submit a new vendor request.
Strategic Sourcing & Supply (SS&S) may already have vendors and products that can meet your needs. If not, SS&S personnel can help you establish contracts and achieve preferred pricing.
For example, during the last six months, 42 percent of new vendor requests submitted might have been avoided if the requester had contacted SS&S first. SS&S has more than 4,000 contracts established with a variety of suppliers, including janitorial and wastewater treatment.
If you need a service that is not currently under contract, submit a request through the Service Request Form.
If you need a product, search eMesa or Mincom first to order already-sourced products. BNSF company policy requires that if the product is available in eMesa or Mincom, you must order it through those processes. eMesa currently contains 130,000 items, and Mincom contains more than 70,000 stock codes in categories ranging from facility supplies to freight car parts, so chances are high that the supplies you need are easily available.
If the product you need, or an acceptable alternate, is not available in eMesa or Mincom, simply submit a request that the product be sourced and added. Requests are normally handled quickly, so you won't have to wait.
Benefits of using SS&S and following outlined processes
- SS&S makes available only products that meet BNSF standards and have necessary policy-required approval.
- SS&S will handle the negotiations and contracting necessary to establish the supply chain - so you don't have to.
- SS&S will ensure the vendor is able to navigate and comply with BNSF's business process requirements, which can be challenging for many vendors and may cause costly delays.
- When orders are submitted through eMesa, invoices are processed via electronic data interchange (EDI) with an automatic approval process, enabling end users to focus on other tasks.
- Purchase orders come with contractual protection, including warranty and approved liability coverage that you may not get otherwise.
If you need to submit a request for a new vendor, you must obtain SS&S approval and provide information on the supplier and the reason for using it.
