Railcar Equipment Request Guidelines

The purpose of the Guidelines document is to describe the steps necessary to request railcars electronically via the internet using the BNSF Web Page.

  • Contact an Equipment Management Representative to initiate the authorization process.

    Call Equipment Management at 1-800-234-8440, prompt #2, then #6 or:

  • Internally, a customer profile will need to be defined containing the type of equipment each customer requests as well as each commodity that will be loaded so that a match in the system will be created to allocate equipment. If a profile error occurs, an Equipment Management representative should be contacted before further processing.

  • Each option from the Main Menu is briefly described below:

 

Facility

    • Used to identify the location for the company requesting equipment.
    • Will only be used by individuals who have authority to manage multiple locations within a corporate structure.
    • Provides the ability to select the desired work site location.
    • A list of all locations for the company will be displayed.

Create

    • Provides the ability to select the desired profile based upon the Equipment Group and Commodity being requested for the desired location.
    • Allows creation of equipment request(s) for empty railcars up to 5 weeks in advance by each day.
    • Equipment should not be requested earlier than 7 days from 'Today's Date'.

 Summary

    • Provides a snapshot of all current railcar equipment requests as well as the ability to view all railcars associated with each request.
    • Each row displayed represents one week of equipment requests known as a group number. The group number shown in green is the most current request.
    • Provides the ability to modify or cancel equipment requests when applicable.
    • The number of cars can be increased or decreased but NOT decreased less than number of cars applied.
    • An equipment request can only be cancelled if zero cars have been applied otherwise contact the appropriate equipment management representative for further assistance.

 EDI Status

    • Allows for viewing the electronic data transmission status for tracking purposes.
    • Creates a tracking number for each transmission.
    • The statuses are either pending, transmitted, accepted, or rejected.
    • Only seven days of history will be retained for tracking purposes.
