Account Status is a BNSF.com tool that allows you to view invoices, authorize, schedule and manage electronic payments. Account SummaryThis page breaks down each account that is assigned to you. It contains the number, and amount of bills that you currently have in each status: Open, Balance Due, Past Due, Under Investigation, Reviewed, Scheduled, Requested, and History. You can access detailed information about any category of bills for any of your assigned companies from this screen. Field Descriptions / ActionsAny field whose data is a hyperlink (underlined text) can be clicked on, when the mouse cursor becomes a hand. The use of these hyperlinks is described below, along with any other pertinent field information. Patron Code This is a listing of all Patron Codes that you have been assigned access to. Clicking on any of these codes will return you to the Main Menu, with that Patron code as your currently selected account. Placing the mouse cursor over the patron code causes a message to be displayed showing your access level for that patron code. Account Description This field contains the name of each of your assigned accounts. If the text is in black, the account is "View Only", which will not allow you to make changes to the account. If the text is green, the account is "Review Only", which will allow you to schedule payments as reviewed and register disputes. If the text is red, the account is "Full Access" which also allows you to schedule payment. Current This field contains a count of all bills that are "Current". By left clicking on the number, you are taken to the Open Payables page, where you will see a summary of all of your Current bills. Current bills do not include Past Due Bills, Balance Due Bills, or bills that are Under Investigation. If the number of current bills is 0, then the text will be black, and you will not be able to click on it. Past Due This field contains a count of all bills that are currently in a "Past Due" status. By left clicking on the number, you are taken to the Open Payables page, where you will see a summary of all of your Past Due bills. If the number of Past Due bills is 0, then the text will be black, and you will not be able to click on it. Balance Due This field contains a count of all bills that are currently in a "Balance Due" status. By left clicking on the number, you are taken to the Open Payables" page, where you will see a summary of all of your Balance Due bills. If the number of Balance Due bills is 0, then the text will be black, and you will not be able to click on it. Under Investigation This field contains a count of all bills that are currently in an "Investigation" status. By left clicking on the number, you are taken to the Open Payables page, where you will see a summary of all of your bills Under Investigation. If the number of Investigation bills is 0, then the text will be black, and you will not be able to click on it. Reviewed Summary This field contains a count of all payments / disputes that are in a "Reviewed" status. By left clicking on the number, you are taken to the Reviewed Summary page, where you will see a summary of all of your Reviewed payments / disputes. If the number of Reviewed Payments is 0, then the text will be black, and you will not be able to click on it. Scheduled Summary This field aontains a count of all payments / disputes that are in a "Scheduled" status. By left clicking on the number, you are taken to the Scheduled Summary page, where you will see a summary of all of your Scheduled payments / disputes. If the number of Scheduled payments is 0, then the text will be black, and you will not be able to click on it. Requested Summary This field contains a count of all payments / disputes that are in a "Requested" status. By left clicking on the number, you are taken to the Requested Summary page, where you will see a summary of all of your Requested payments / disputes. If the number of Requested bills is 0, then the text will be black, 90 Day History This field contains a count of all payments / disputes that have been completed within the past 90 days. By left clicking on the number, you are taken to the 90 Day History page, where you will see a summary of all of your payments / disputes from the past 90 days. If the number of payments in the past 90 days is 0, then the text will be black, and you will not be able to click on it. Action ButtonsA button is activated by left clicking on it. Unlike a hyper-link, the cursor will NOT become a hand, but will instead remain the regular cursor (usually an arrow). Each button on this screen is described below. Search If you would like to search for an account that is not assigned to you: Type the patron code in the search box, then click on the Search button. The screen will reload with the new patron information in the top row of the table, if it exists. Text Only This button will open a new window that contains an unformatted text only version of the information on the screen, that can be easily copied into a Word Processor, or Spreadsheet application. Page DescriptionThis page contains all of the open bills for a selected company. These bills can be viewed in several views, and grouping combinations. From this screen, you can pay the amount due, dispute the amount due, or view any of the bills in more detail. Any payments scheduled past 3 PM CST will not be submitted to the bank until the following business day. Column SortingSome columns on this page can be sorted in Ascending or Descending
order. To sort a column, left click the desired Sort radio
button (Ascending or Descending), then left click the column
heading of the column that you want to sort (The mouse cursor
will become a hand when the mouse is over a sort-able column
heading).
Open bills can be broken down into different types, and viewed separately. To do this, left click on a view in the list, and then left click the reload button. The different views are described below. Current Bills This view contains all open bills excluding Balance Due, Past Due, and Under Investigation Bills. Balance Due Bills This view contains all bills in a Balance Due status. Past Due Bills This view contains all bills in a Past Due status. Under Investigation Bills This view contains all bills that have been disputed and
are currently Under Investigation.
The bills shown for whichever view you have selected can be grouped in one of 9 different ways. To group the bills, left click on the grouping in the list, and then left click the reload button. The different groupings are described below. Bill Due Date This groups the date that they are due. Origin This groups the bills by where the freight originally shipped from. Destination This groups the bills by the freights destination. Origin-Destination This groups the bills by where they started and finished (ex: Bills from freight that started in Chicago and ended in Kansas City will be grouped together). STCC Number (5) This groups the bills by the first 5 digits of their STCC Number. STCC Number (7) This groups the bills by the entire 7 digit STCC Number. Waybill Date This groups the bills by their Waybill Date. Equipment Initial This groups the bills by their Equipment Initial. Bill Type This groups the bills by their Bill Type. Action ButtonsA button is activated by left clicking on it. Unlike a hyper-link, the cursor will NOT become a hand, but will instead remain the regular cursor (usually an arrow). Each button on this screen is described below. Reload This button's function is described above under View, and Grouping. Check Boxes To put a check mark in a box, left click the box that you want to check. Detail Clicking this button will take you to the Open Payables Details screen, where detailed information is displayed about each row that has a checkmark in its checkbox. At least one row must be checked in order for this button to work. Pay Amount Due Clicking this button will take you to the Payment Options screen where you can continue the payment process. The bills corresponding to each check box with a check mark in it will be displayed on the Payment Options screen. At least one row must be checked in order for this button to work. Pay Other Amount Clicking this button will take you to the Dispute Payments screen where you can continue the dispute process. The bills corresponding to each check box with a check mark in it will be displayed on the Dispute Payments screen. At least one row must be checked in order for this button to work. Mark as Reviewed This button will only be visible for Review Only access level. Clicking this button will take you to the Payment Options screen where you can continue the review process. The bills corresponding to each check box with a check mark in it will be displayed on the Payment Options screen. At least one row must be checked in order for this button to work. Register Dispute This button will only be visible for Review Only access level. Clicking this button will take you to the Dispute Payments screen where you can continue the dispute review process. The bills corresponding to each check box with a check mark in it will be displayed on the Dispute Payments screen. At least one row must be checked in order for this button to work. Print Bills BNSF uses a .pdf format for printing so you will need Adobe Acrobat to print successfully. If you run into any problems it may be due to your Adobe printer settings. Once you have brought up the bill image(s) in Adobe, and click print, the "Print" dialogue box appears. In the bottom left corner of the box, there is a section called "Post Script Options". You may need to set the Print Method to "Language Level 2", or "Post Script Level 2". If you continue to experience problems please call our eBusiness help desk at 888-428-2673. Please note that you can print up to 50 bills at one time.
Select All This Page Clicking on this button will put a check mark in the check box of every row on the current screen. Unselect All This Page Clicking on this button will remove the check mark from any and all checkboxes that have them on the current screen. Text Only This button will open a new window that contains an unformatted text only version of the information on the screen, that can be easily copied into a Word Processor, or Spreadsheet application. Paging ButtonsAny time there are more than 50 rows to display in any given table, the screen becomes multiple "Pages". When this happens, a set of paging buttons will be displayed at the bottom of each page. These buttons work as described under "Action Buttons" above, and their individual functions are described below. Next Click this button to display the next 50 records. Previous Click this button to display the previous 50 records. End Click this button to display the final 50 records. Beginning Click this button to display the first 50 records. Open Payables DetailsPage DescriptionThis page shows detailed information for each bill displayed. From this screen, you can pay the amount due, or dispute the amount due. Amount Due This field contains the current amount due on the corresponding bill. By left clicking on the amount, you open a new window that takes you to the Payment/Adjustment Information screen.
Dispute Reason This field contains the reason that a bill was disputed, and IS ONLY DISPLAYED IF THE BILL IS UNDER INVESTIGATION. By left clicking on the amount, you open a new window that takes you to the Investigation Notes screen.
Equipment ID This field contains the Equipment ID, (which consists of the Equipment Initial and Equipment Number) for the corresponding bill. By left clicking on the Equipment ID, you open a new window that takes you to the Rate/Weight Information screen. FB Number This field contains the Bill Number for the corresponding bill. By left clicking on the Bill Number, you open a new window that takes you to the Bill screen. Check Boxes To put a check mark in a box, left click the box that you want to check. Pay Amount Due Clicking this button will take you to the Payment Options screen where you can continue the payment process. The bills corresponding to each check box with a check mark in it will be displayed on the Payment Options screen. At least one row must be checked in order for this button to work. Page DescriptionThis page displays rate and weight information for each piece of equipment on a selected bill. Return Left clicking on this button will close this screen, and
return you to the screen you were on previously.
Page DescriptionThis page displays any Investigation Notes that are associated with a selected Bill. Return Left clicking on this button will close this screen, and
return you to the screen you were on previously.
Page DescriptionThis page displays the most current version of the Bill for
a given Bill Number. This bill can be printed, but there
are no actions that can be taken on this screen. To close
this window and return to the previous screen, left click
the X in the top right corner of the window.
Page DescriptionThis page allows you to schedule bills for payment on the date that you provide. Payment will be withdrawn from your account on the morning of the date that the payment is scheduled. Any payments scheduled past 3 PM CST will not be submitted to the bank until the following business day. Column SortingSome columns on this page can be sorted in Ascending or Descending order. To sort a column, left click the desired Sort radio button (Ascending or Descending), then left click the column heading of the column that you want to sort (The mouse cursor will become a hand when the mouse is over a sort-able column heading). Payment Date This field contains a text box that has the date that each bill group will be scheduled for. This field can be modified by left clicking inside of the box and changing the date. The default value of this field is today's date. The format of the date MUST BE: YYYY-MM-DD. EX: 2001-01-09 is January 9, 2001. Schedule Payment Left Clicking on this button will schedule all of the bills on the page to be paid on the date in each of the corresponding Payment Date boxes. Once the payments are scheduled, each newly scheduled bill will be added to the Scheduled Payments screen. You will be returned to the "Account Summary" screen after the payments are scheduled. Mark as Reviewed This button is only visible for Review Only access level. Left Clicking on this button will mark as reviewed all of the bills on the page to be paid on the date in each of the corresponding Payment Date boxes. Once the payments are reviewed, they will be added to the Reviewed Summary screen. You will be returned to the "Account Summary" screen after the payments are reviewed. Cancel Left Clicking on this button will return you to the Open Payables screen. All changes are discarded. Reset Left Clicking on this button will reset the Payment Date for every row to today's date. Text Only This button will open a new window that contains an unformatted text only version of the information on the screen, that can be easily copied into a Word Processor, or Spreadsheet application. Dispute PaymentsPage DescriptionThis page allows you to dispute any open bill, which will result in an investigation to determine whether or not the bill is in error. Payment will be withdrawn from your account on the morning of the date that the payment is scheduled. Any payments scheduled past 3 PM CST will not be submitted to the bank until the following business day. Column SortingSome columns on this page can be sorted in Ascending or Descending order. To sort a column, left click the desired Sort radio button (Ascending or Descending), then left click the column heading of the column that you want to sort (The mouse cursor will become a hand when the mouse is over a sort-able column heading). This amount should be changed to the amount that you think should actually be due. Left click inside of the box, then change the amount. Payment Date This field contains the date that the payment is to be made on, and is defaulted to today's date. To change this date, left click inside of the box, then change the date. Reason This field contains a select box which lists the most common reasons for disputing bills. The reason is defaulted to other, but should be changed to one of the other reasons that is more specific to the situation if one exists. To select a different reason, left click on the arrow on the right of the box. The list of reasons will be displayed: Then left click on the reason that applies. Dispute Description This filed is for you to put the specifics of why you are disputing the bill. This bill MUST have a value to submit the payments. Mass Update Fields / ButtonsThese section is always at the end of the table, and shaded in blue. The purpose is to be able to update the Amount, Date, Reason, and Dispute Description, or all of them, to multiple bills at once, when the information is the same. Each field contains the same type of information as is described in Field Descriptions / Actions above. Once these fields have been filled in with the appropriate information, the changes can be applied to all fields that have a checkmark in the corresponding Check Boxes. To apply the changes, left click on the appropriate button, described below. Apply All Fields Left clicking on this button will put the information in the mass update Payment Amount, Payment Date, Reason, and Dispute Description fields into each bill with a checkmark in its corresponding Check Box. Apply Amount Only Left clicking on this button will put the information in the mass update Payment Amount field into each bill with a checkmark in its corresponding Check Box. Apply Date Only Left clicking on this button will put the information in the mass update Payment Date field into each bill with a checkmark in its corresponding Check Box. Apply Reason and Description Left clicking on this button will put the information in the mass update Reason and Dispute Description fields into each bill with a checkmark in its corresponding Check Box. Check Boxes To put a check mark in a box, left click the box that you want to check. Schedule Payment Left Clicking on this button will schedule all of the bills on the page to be paid on the date in each of the corresponding Payment Date boxes. Once the payments are scheduled, each newly scheduled bill will be added to the Scheduled Payments screen. You will be returned to the Account Summary screen after the payments are scheduled. Dispute This button is only visible to Review Only access. Left Clicking on this button will create all of the disputes on the page to be paid on the date in each of the corresponding Payment Date boxes. They will be put into Reviewed status. Once the payments are reviewed, each newly scheduled bill will be added to the Reviewed Summary screen. You will be returned to the Account Summary screen. Cancel Left Clicking on this button will return you to the Open Payables screen. All changes are discarded. Reset Left Clicking on this button will reset all of the Payment Amounts to their original amounts, the Payment Dates to today's date, the Reasons to "Other", and the Dispute Descriptions to blank. Reviewed SummaryPage DescriptionThis page displays all of the payments and disputes that are currently ready for review. Payments / disputes can be displayed in several different views, and groupings. From this page, you can deny a payment / dispute, approve a payment / dispute or view a payment / dispute in more detail. After 3 PM CST on the day prior to the scheduled date, payments will be moved to the "Requested Summary" screen, and cannot be stopped. Column SortingSome columns on this page can be sorted in Ascending or Descending

Reviewed Summary consists of three views: Reviewed Payments, Reviewed Disputes, and All Reviewed. To select a view, left click on the desired view in the list, and then left click the reload button. The different views are described below. All Reviewed This view contains all payments and disputes in a review status. These are payments and disputes that have been scheduled by a Review Only user, and must now be approved or denied by a Full Access user. Reviewed Payments This view contains all payments in a review status. These are payments that have been scheduled by a Review Only user, and must now be approved or denied by a Full Access user. Reviewed Disputes This view contains all disputes in a review status. These
are disputes that have been made by a Review Only user, and
must now be approved or denied by a Full Access user.

Approve PaymentPage DescriptionThis page allows a Full Access user to approve a payment that is in Review status. Each button on this screen is described below. Approve Payment Left Clicking on this button will Approve all of the payments listed on this screen. Once the payment is Approved, it will appear on the Scheduled Summary screen, and will be removed from the Reviewed Summary. After the payments are Approved, you will be returned to the Account Summary screen, where the bill counts will reflect the changes. Cancel Left clicking on this button will return you the Scheduled
Payments screen without making any changes to the bills.

Requested Summary consists of three views: Requested Payments, Requested Disputes, and All Requested. Page DescriptionThis page allows you to schedule a payment on a bill that you manually enter, instead of selecting the bill from our records. You will always have to enter the Payment Amount and Date. Additionally, you will have to enter one of three different sets of information: 1) Equipment Initial, Equipment Number, Waybill Number, Waybill Date; 2) Equipment Initial, Equipment Number, Bill of Lading Number, Bill of Lading Date; 3) Bill Number (or Accessorial Bill Number). Payment will be withdrawn from your account on the morning of the date that the payment is scheduled. Any payments scheduled past 3 PM CST will not be submitted to the bank until the following business day. Field Descriptions / ActionsAny text box can be accessed by left clicking within the
box. A cursor will appear in the box, and you can edit or
add data. The use of these boxes is described below, along
with any other pertinent field information.
Payment Amount This field is required to schedule a payment. You must enter the amount that you wish to pay. You can enter up to 10 numerical digits; commas and decimal points are optional. Payment Date This field is required to schedule a payment. You must enter
the date on which you wish the payment to be made. The date
must be entered in the following format: mm/dd/yyyy (Where
01/07/2001 is January 7, 2001). If you do not enter the date
in the correct format, then the date will be defaulted to
today's date.
Equipment Initial If you enter an Equipment Initial, then you must also enter the Equipment Number; as well as the Waybill Number and Waybill Date, or the Bill of Lading Number, and Bill of Lading Date. You can enter up to 4 alphanumeric characters in this field. Equipment Number If you enter an Equipment Number, then you must also enter

Reset Left Clicking on this button will reset every text box on this screen to blank. SearchPage DescriptionThis page allows you to search for bills by one of four identifiers: Bill Number, Waybill Number, Bill of Lading Number, or Equipment Initial and Number. You can search any of the companies that are assigned to you. For help on the results of the search, refer to Search Results. Field Descriptions / ActionsAny text box can be accessed by left clicking within the box. A cursor will appear in the box, and you can edit or add data. Select Boxes are used by left clicking on the arrow to the right of them. This will display a list of values to choose from. To select a value from the list, left click on the value. The use of these boxes is described below, along with any other pertinent field information. Account Number and Description This is a select box that allows you to choose up to 5 Patron Codes to search at one time. To select 1 Patron Code, simply left click anywhere on the Patron Code or Description of the company desired. Once selected, the company becomes shaded in blue. To select multiple companies, hold down the Ctrl key, and left click on each of the Patron Codes desired - each selected company will be shaded blue. If you cannot see all of your Patron Codes, there is a scroll bar to the right of the select box: scroll this up or down to see the other patron codes. Search Value This text box is where you will type in the identifying value for the desired bill. The value put here must correspond to the type of search selected in the Search Field select box. For Freight Bills, you must enter up to 9 numeric digits. For Waybills, you must enter up to 6 numeric digits. For BOL or VIN, you must enter up to 17 alphanumeric characters. For Equipment Initial and Number, you must enter up to 4 alphanumeric characters(Equipment Initial) followed by a space, and up to 10 numeric digits(Equipment Number). Search Field This select box allows you to specify what identifying characteristic you would like to search by. You may search by Bill Number, Waybill Number, Bill of Lading Number, VIN Number, or Equipment Initial and Number. Search Area This select box allows you to specify limits on the results that are returned. By default, All Bills and Payments is selected, and any results that are found will be returned. You can choose to search only the Open Bills, Scheduled Payments, Reviewed Payments or Payment History (Paid Bills). Action ButtonsA button is activated by left clicking on it. Search Left Clicking on this button will perform the search. The search will look for the value in Search Value, assuming that it is the type of information specified in Search Field. The search will look in all of the Patron records specified in Account Number and Description, and will limit its results by the value selected in Search Area. You will be taken to the Search Results screen after the search is performed. Narrowing your search by selecting a specific account number or limiting the search area will increase the speed of the search. If the server "times out" or fails to reload hit the stop button on your browser, narrow your search, and try again. Search ResultsPage DescriptionThis page shows the results from a search. It also includes all of the functions from the Search page, and further searches can be performed. Field Descriptions / ActionsAny field whose data is a hyperlink ( underlined text) can be clicked on, when the mouse cursor becomes a hand. The use of these hyperlinks is described below, along with any other pertinent field information. Location This field contains the location of the bill or payment that
was found in your search. By left clicking on the hyperlink,

Page DescriptionThis page allows you to customize any of the pages within Account Status. You can set what columns are shown, what order the tables are sorted in, and what View or Group By is loaded by default. Summary Screen PreferencesThis part of the page allows you to customize the summary level screens of Account Status. From this drop down box, you can choose which summary screen you would like to customize: These screens are: Open Payables, Scheduled Payments, Reviewed Payments, Requested Payments, and Payment History. Default View This select box allows you to choose the view that you would like the selected screen to load with. For information on the different views, click on one of the following links: Open Views, Scheduled Views, Reviewed Views, Requested Views, or Payment History Views. This is only the default view, and you will be able to change to a different view from any screen. Default Group This select box allows you to choose the group that you would like the selected screen to load with. For information on the different groups, click on one of the following links: Open Groups, Scheduled Groups, Reviewed Groups, Requested Groups, or Payment History Groups. This is only the default grouping, and you will be able to change to a different grouping from any screen. Order By This select box allows you to choose what column you would like the selected screen to order its table by. This is only the default, and you will be able to order by any available field from any screen. Update Summary Preferences Only By left clicking on this button, your Summary Screen Preferences will be saved. Restore Defaults By left clicking on this button, your Summary Screen Preferences will be restored to their original settings. By clicking this button, you ARE NOT finalizing the change. To finalize restoring your original settings, you must CLICK UPDATE SUMMARY SCREEN PREFERENCES. Detail Screen PreferencesThis part of the page allows you to customize the detail level screens of Account Status. From this drop down box, you can choose which detail screen you would like to customize: These screens are: Open Payables, Under Investigation, Scheduled Payments, Reviewed Payments, Requested Payments, Payment History, Search, and Account Summary. Available Columns This select box displays all columns that are available for the selected detail screen that are not currently selected to be displayed. ANY COLUMN IN THIS LIST WILL NOT BE DISPLAYED ON THE SELECTED SCREEN. To highlight a column in the list, left click on the text of the desired column. Displayed Columns This select box displays all columns that are currently chosen for display on the selected detail screen. The columns in this box are displayed in the order that they will appear on the selected detail screen. To highlight a column in the list, left click on the text of the desired column. Add / Remove Columns These two buttons will move selected columns back and forth from the Displayed Columns and Available Columns lists. Left clicking the button with the left pointing arrow will move the highlighted column from the Displayed Columns list to the Available Columns list: Removing the column. Left clicking the right pointing arrow will move the highlighted column from the Available Columns list to the Displayed Columns list: Adding the column. Position Column These two buttons change the position of the columns in the Displayed Columns list, and therefore the order that they will be displayed on the selected detail screen. Left clicking the UP button will move the highlighted column up one position in the list. Left clicking the DOWN button will move the highlighted column down one position in the list. Order By This select box allows you to choose what column you would like the selected screen to order its table by. This is only the default, and you will be able to order by any available field from any screen. Update Detail Preferences Only By left clicking on this button, your Detail Screen Preferences will be saved. Restore Defaults By left clicking on this button, your Detail Screen Preferences will be restored to their original settings. By clicking this button, you ARE NOT finalizing the change. To finalize restoring your original settings, you must CLICK UPDATE DETAIL SCREEN PREFERENCES. Account / General PreferencesThis part of the page allows you to select a default account: the account that is selected upon opening Account Status. Also, you can change the description assigned to each of your accounts. Accounts This section consists of two pieces: A select box with all of the Patron Codes assigned to you, and a text box with the currently selected account's description. Set To Default The default account has "--default" attached to the end of the patron code. To change the default to another account, left click on the desired account(this will hightlight the new account), then left click on the Set To Default button. Clicking this button WILL NOT permanently change the default account, you MUST CLICK UPDATE ACCOUNT PREFERENCES ONLY. Change Description The description of the currently selected account appears in the text box. If you want to change this description, left click in the text box and change the description. Then click on the Change Description button. Clicking on this button WILL NOT permanently change the description, you MUST CLICK UPDATE ACCOUNT PREFERENCES ONLY. Update Account Preferences Only Left clicking on this button will save your changes to the Account Preferences. Update All PreferencesLeft Clicking on this button will save your changes to all of the three sections of this screen. Overcharge ClaimsOvercharge claims allows you to file an Overcharge Claim electronically, and/or check the status of an electronically filed Overcharge Claim. The Overcharge Claim process is only available on BNSF Freight Bills. If you need to file a claim for a BNSF Miscellaneous Bill, please email MiscCarload@BNSF.com. From your Account Status Menu there are two links, "File Overcharge Claims" and "View Overcharge Claims." File Overcharge ClaimsThis option allows you to file an overcharge claim electronically. Begin by selecting an account from the drop down menu. The drop down menu provides a list of your accounts. If you have only one account, only that account will populate the list. If you have more than one account, all of your accounts will be shown in the drop down menu. An example of an account would show: ‘055123 – ABC Co – BMAudit.’ The six-digit number (055123) shows the primary patron code number, (ABC Co) – the Patron’s name, and (BMAudit) the Auditing firm used by this Patron. Select the account to file an Overcharge Claim from the drop down list. Then click on the title ‘File Overcharge Claims’ link to display the Overcharge Claims Files screen. Overcharge Claims - File screen: In order to file an Overcharge Claim BNSF will need to know the Vendor Code, Client Claim Number, and the waybill information. A Vendor Code is a BNSF in-house number with an allocated address of where to send a refund. Placing the mouse cursor over the vendor code displays the address of the Vendor. The address shown in the vendor code display is the address where the overcharge claim check will be sent. You have the option to type in the Vendor Code, or select the vendor code from drop down list. Note: If the vendor code (number) or address is not listed, click on the Obtain a New Vendor Number link to input new vendor code information. After the Vendor Code Information Form is complete, click the Submit button. It is important to note that submitting new vendor code information does not stop the claim process. Continue filing as if you have a Vendor Code (although the vendor code list will have the blank selected). Once BNSF approves the vendor code information, and the claim has been submitted, you will be issued a BNSF claim number. The Client Claim Number is the number your company uses to denote claim. The Search Criteria consists of using one of the four options below. All of the information requested in the Search Criteria can be found on the BNSF Freight Bill.
Once all information is complete click "Search for Bills." Note: After you click Search for Bills, there is possibility for errors to occur. Overcharge Claims Form screen: Use this screen to input information about your Overcharge Claim. The Vendor Code and Client Claim number is pre-populated on the Overcharge Claims Form. To process your overcharge claim you are required to fill in the following additional information.
Overcharge Claim Form Acknowledgement: After you submit the overcharge claim you will receive an acknowledgement that BNSF has received your claim. If you provided a previously approved vendor code when you filed your claim you will receive a BNSF overcharge claim number. This overcharge claim number is used by BNSF to reference your claim, and is used by the customer to determine the status of a current overcharge claim (see View Overcharge Claims). After the overcharge claim has been processed by BNSF you will receive an acceptance or declination of your claim along with an explanation of BNSF’s decison. The Status column on this screen will show the state of your Overcharge Claim.
To file another Overcharge Claim click on Account Status Main Menu, select an account, then click File Overcharge Claims to repeat the process. View Overcharge ClaimsThis option allows you to search for and view a current overcharge claim. Begin by selecting an account from the drop down menu. The drop down menu provides a list of your accounts. If the user has only one account, only that account will populate the list. If you have more than one account, all of your accounts will be shown in the drop down menu. An example of an account would show: ‘055123 – ABCCo– BMAudit.’ The six-digit number (055123) shows the primary patron code number, (ABCCo) – the Patron’s name, and (BMAudit) the Auditing firm used by this Patron. Select the account to view an Overcharge Claim from the drop down list. Click on the title ‘View Overcharge Claims’ link to display the Overcharge Claims – Search for Claims screen. Overcharge Claims Search for Claims screen: Use this screen to search for a specific claim, search by BNSF overcharge claim number or by Vendor Name, then Vendor Code, and ultimately the BNSF Claim Number. Type in Vendor Name or BNSF Claim Number. Click Search.
